Corporate Events Manager: Events Logistics & Event Marketing Project Manager

• Provide support to programs lead, as well as management and execution, around the logistics arm of major conferences.
• Provide project management to support Audience Acquisition efforts for the two conferences to ensure every possible audience acquisition marketing opportunity is being utilized to promote the events from emarketing campaigns (email, web pages, e-newsletters, social media, webinars) to in person events such as trade shows, and provide ongoing project management services which includes creating schedules for each marketing piece, building timelines for copywriting, reviews, approvals, creative production, further approvals and distribution.

Event Logistics Support and Management

• Provide support and take the lead around event operations, implementation and post-event activities which includes but is not limited to: updating and managing event logistics documentation, ensuring appropriate distribution of documents to teams to support the planning process which includes the Event Agenda, function space grids, event overview presentations, and plan of records; hotel inventory management; food and beverage planning; transportation planning; execution of new programs; vendor management; special events planning (receptions, dinners and parties); overseeing C level meetings and special programs; and support event budget management and budgeting processes which include opening and tracking supporting POs to manage program payments and meeting with event logistics vendor budget lead to review spend status.
• Working with event logistics company to launch and manage Co-located Meeting Program to support employee requests for the expected 75+ ancillary meetings held around the conferences. This includes, but is not limited to: Working with event logistics company on finalized guidelines and requirements, inclusive of review of online request site; development and presentation of employee co-located meeting training webinar.
• Recruitment and management of employee event staffing program to support on site event logistics in relation to event registration, and breakout and learning labs door monitors.

Audience Acquisition Project Management (Event Marketing)

• Support development, optimization and execution of the event marketing campaigns from idea to “go live”. This includes but is not limited to:
o eMarketing: e-mails, e-newsletters and product bulletins articles
o Banner ads
o Websites, Knowledge Center, Education, regional sites, 3rd parties, et al
o Social Media: Twitter, Facebook, LinkedIn, communities, blogs and tweets
o Toolkit Assets: including but not limited to elevator pitch, email templates, email tagline and signature, PPT slides, webinar kit, Sell the Value, sales and customer Fact Sheets, newsletter articles, sales-specific items, contest rules, regs and promotional pieces, posters, postcards, phone cards, on hold voicemail scripts, and more. Update assets as requested throughout life of marketing program.
o Videos
o Incentives: internal & external contests
• Team with writer, Creative Services, event and marketing staff and event logistics company, communicating details about each deliverable and its schedule.
• Create schedules for marketing deliverables, building timelines for copywriting, reviews, approvals, creative production, further approvals and distribution.
o Adjust timelines to meet new content requirements, revised launch dates and updated messaging plans.
• Deliver templates for various pieces to minimize the impact on the team, control the volume in the pipeline, and alleviate inconsistencies in messaging and brand.
• Manage postings to event page and in the case of emails, secure partner logos for inclusion and facilitate delivery of suppression lists.
• Be able to review and edit the deliverables, read comments from other reviewers, provide additional feedback downstream, resolve conflicts from reviewer input, build links, and finalize copy before taking each piece into layout.
o Additionally liaison with stakeholders and vendors to resolve issues when copy edits are suggested or necessary in the layout/staging phase. Review and test all final e-mails prior to dropping and review banners, testing links, when the banners are pushed live.
• Support execution of promotional offers, inclusive of managing contests and campaigns from launch through closure, including the selection of winners and the delivery of prizes, and create and manage the Contest Tracking List.
• Manage the event marketing plan executive overview PPT, Audience Acquisition Grid and the URL Tracking List, updating and distributing these core tracking documents weekly to the team.
• Help manage flow to contracted copywriter, and provide copy review and copyediting support.
o Participate in weekly meetings with the writer, proactively sharing new information and responding to daily questions.
• Coordinate marketing deliverables for third party organizations such as Google and LinkedIn. Provide agreed-upon materials such as emails, banners and web pages. Manage these materials from content creation through production and delivery. Participate in planning meetings. Coordinate databases and provide suppression lists when needed.
