Communications Coordinator

My client is looking for a Communications Coordinator to join his organization. The Communications Coordinator works directly with the communications team to oversee production of printed materials, provide graphic design support, write press releases, manage media needs and promote the organization throughout the year. The Communications Coordinator also assists with managing website content and serves as a back-up for the Video Scoring Tower and social media content management. The Communications Coordinator reports directly to the Director of Communications.

Responsibilities include, but are not limited to:

• Oversee the production, printing process and distribution of publications, which includes but is not limited to: managing content and print schedules for the Fan Guide, brochures, pocket schedules, Pre-Race Ceremony passes, Victory Lane passes, Weekend Event Guide and post-race sponsor recaps, while working with the Creative Services Coordinator for graphics and layout.

• Manage race weekend event program content, which includes but is not limited to: providing story ideas, writing articles, overseeing the creative and branding, ad placement and proofreading.

• Assist with graphic design and content, which includes but is not limited to: email campaigns, website updates, flyers, banner ads and partner offers.

• Assist in maintaining all aspects of the organization's website, as well as media section of website, which includes but is not limited to: placing press releases and related stories on main website, as well as media portion of website, providing audio files for media, maintaining updates of fan hospitality appearances.

• Provide support to the communications department including but not limited to: writing press releases, updating website content, scheduling appearances for race weekend hospitality, as well as assisting with PR events.

• Plan and execute driver/sponsor advances, insuring that fan elements are included in each event.

• Coordinate call-ins for pre-event publicity with national, regional and local radio stations and programs. Duties include reaching out to driver and sponsor public relations contacts, scheduling call-in times and stations for available drivers and coordinating track president’s call-in schedule.

• Assist with event communications and logistics, including media credentials, seating layouts, weekend shot sheet, photo meetings, tip sheets, press conferences, media food orders, pre-race elements and victory lane. Responsible for the coordination of Grand Marshals, Honorary Starters, National Anthem, fly-overs, trophies, plaques, minute-by-minute pre-race schedule, sponsor parade lap, driver ride around, driver hospitality appearances, as well as race day pre-race production.

• Develop and maintain an accurate and comprehensive media database to ensure accurate and effective distribution of press releases. Assist with the accurate and timely distribution of press releases.

• Serve as back- up to the track’s social media platform.

• Serve as main point of contact for media monitoring which includes providing search parameters, as well as collecting the clippings and data for post-race recaps.

• Manage track content posted on the International Speedway Corporation Portal, including press releases, videos, audio, photos and employee profiles.


• Bachelor’s degree or education/experience equivalency
• Extensive experience in Adobe Creative Suite, including Photoshop, InDesign and Illustrator
• Strong background in technical aspects of web and social media
• Preferred knowledge of MAC Operating System
• Ability to work independently and as a member of a team
• Flexibility and ease with juggling multiple responsibilities
• Ability to think creatively
