Bilingual Event Planner

Come and work for a well respected non profit in downtown DC! This client is one of the largest membership organizations in the United States! Immediate need for a seasoned Bilingual Event Planner to sit on-site in Washington, DC.

POSITION SUMMARY:
Person is responsible for working with the Sr. Manager and Project Manager in Event Services. Individual will have responsibility for researching, reviewing, coordinating events for the Event Services team and components of a multitude of local and national events with guidance from the Director. Components may include coordination of temporary staffing and volunteers, convention or facility coordination, housing contracts, security awareness, schedule coordination and or program coordination. Housing and registration work for events maybe coordinated by this individual in partnership with department management and oversight. Flexibility, adaptability and a strong sense of timeliness and understanding of priorities is required. Individual will have duties including, scheduling, coordination, contract review and daily task assignments to implement the 100+ events the group produces. Strong knowledge of event production and implementation required. Individual provides administrative and functional support to the team as needed as well as other duties as required.

RESPONSIBILITIES:
• Individual will serve as the bilingual liaison for Spanish speaking event planning and coordination
• Individual will serve as responsible person for booking, creating, producing and fully staffing meetings and events created in conjunction with Client events and programs. Person may serve as lead partner with department management for event housing and registration and must have ability and confidence in working with technical aspects or housing/registration process and implementation.
• All event services and client engagements for client in this jurisdiction will be received, processed, approved and assigned to the client engagement personal by Directors in the Clients' Event Group. When or where conflicts may arise, with a full understanding of organization protocol, the individual will be responsible for resolving scheduling conflicts to the satisfaction of the individuals responsible for the events in question.
• Individual will maintain relationships with regard to functions and live experiences for Client events that may be critical to the success of any event: this includes internal departments such as, Office Services, Security, Broadcast, Catering, Technology/IT, Event Services and external venues such as area hotels and event venues as well as any others that may be pertinent.
• Individual will make sure that they are informed of the purpose of the functions or events held, the special needs for lighting, audio/visual equipment, technology applications including operation, catering, registration, security, maintenance and restoration or re-set of the spaces or venues in a timely fashion.
• The individual may be called upon to serve as a “producer” of the scheduled events and provide on-site expertise in supporting or managing the event presentations for the client.
• Critically, individual will ensure that all systems and services offered in the designated event areas are in fully functional order and that any repairs, replacements or maintenance issues are handled in a timely fashion so as not to disrupt the scheduled events.
• Individual will maintain and publish an accurate and timely calendar of events including all pertinent information pertaining to each entry.
• May be called upon to provide administrative assistance to the department.
• Demonstrates organizations' attributes and behaviors on a daily basis in all interactions, and can be counted on to observe and show compliance with all client requirements and protocols.

EDUCATION & EXPERIENCE
• Bilingual in English/Spanish
• College degree preferred with extensive experience in the creating, scheduling, staffing and management of events and/or corporate functions.
• 3-5 years experience in range of event disciplines expected with special emphasis on successful creation of live events in various venues.
• Demonstrated interpersonal, business and organizational skills that are consistently sound even under extreme conditions or situations is a requirement.
• Experience with programs and events involving governmental, theatrical, entertainment, sports, broadcast, literary and military figures highly valued.
• Experience working with outside vendors on complicated programs and unusual circumstances highly valued.
• Ability to work effectively, patiently and firmly with people is required.
• Excellent communication and interpersonal relationship skills with emphasis on listening, rapid processing of information and decisive communication are required.
• Computer skills (Windows, Excel, Word, PowerPoint, Adobe, etceteras) required.
• Existing or readily acquired knowledge and expertise in the operation of the presentation, environmental and physical equipment installed or utilized in Client events is highly valued.
• Skills required are critical to the success of the position and include (but are not limited to):
• Full comprehension and ease of use for the entire range of services provided on the Client “Infonet” specifically including the Brand Resource Center and a working knowledge of the functions of all pertinent departments or offices within the organization. Including Broadcast, Printing, IT/Technology, etceteras.
