Areas of Focus – B2B Tradeshow Event Management & Marketing
• Primary internal liaison for tradeshow execution for internal and external resources
• Securing booth location and ensuring all aspects of contract sponsorship are achieved
• Coordination and management of onsite vendors
o Booth set up consultant
o Display Works
o Transportation
• Shipping and Logistics
o In accordance with timelines and budget
• Management of event-specific budgets
o Approvals and processing of invoices
o Reporting to Brand Manager
• Management of tradeshow booth schedule and staffing
• Management of Speaker’s panel
o Coordination of practice schedules
o On site contact
o Consolidation and cleanup of final PowerPoint presentation
o Speaker’s gifts coordination
• Coordination of sales staff and booth staffing
• Manage meetings with Sales team to review event schedules and sales-related deliverables
• Registration of attendees to conference and tradeshows
o In accordance to allocated budget
• Management of Membership Roster
• Inventory,tracking and ordering of tradeshow assets
o Including marketing collateral, giveaways and booths
o Ordering and maintaining supplies of sales collateral in accordance to collateral budget
o Working with booth storage to ensure items are in good condition, repairs made if needed.
• Develop booth schedules for:
• Vendors, Sales, Booth Staff, Management, Speakers, Partners Tradeshow & Event Printing
• Ordering of booth swag
o Tchotchke and grand prize giveaways
o Manage to a timeline and budget and ensure they within the tradeshow rules
• Coordination of In-booth promotions
o Signage for giveaways, panel, new product launches
o Video loop updates
o Update prize rules with legal
o Work with Brand Manager to update collateral
o Work with legal to ensure all guidelines are met
• Sourcing, securing and negotiating contracts for event show dinners
o Provide proposals to Brand Manager including venue, catering/menu, A/V, etc.
o Coordinate dinner activities with sales and event staff
o Management of dinner event schedules and staff schedules
o Management of guest invitations – execution of email/direct mail distribution
o Management of dinner RSVP’s
o Management of guest transportation
o On-site event manager
? Travel required
o Management of filming logistics and interviewees (if filming)
? Including any necessary legal documentation to be provided to legal/compliance
• Data entry as needed in support of tradeshow events including:
o Scanning & uploading event leads into Salesforce
o Compiling tradeshow marketing leads for email marketing database
• Tradeshow Communication Support
o Working with Brand Manager execute on pre and post conference email and direct mail campaigns
• Tradeshow Recaps & Lessons Learned: For team and management review

Requirements:
Tradeshow management
Event marketing
Vendor management
Budget & Timeline management
4-year Degree in marketing or communications
CMP or CSEP certification
