Associate Producer

Client is seeking an Associate Producer eager to play an integral role on the team. The Associate Producer is responsible, under guidance from the Manager of Production (or lead producer), for supporting the Production department with logistical aspects of production and with maintenance of content management systems and other team wide processes.

Scope of Job

This is a crucial position for the organization, which will be in charge of critical tasks and work with managers and program and project managers to ensure the team and projects operate properly. Additionally, this position will lead small projects as needed. Specific job tasks include, but are not limited to:
- Work with Producers to facilitate day-to-day activities that will enable projects to be completed in time and on budget.
- Work with Manager of Production to understand process requirements and changes and serve as a facilitator of the implementation of these new processes.
- Provide status reports to leadership team as requested.
- Manage logistics of resourcing process so that overall utilization is lower and resources are optimally assigned to projects.

Additional tasks:

Project Management: Assist producers as directed by them. Project tasks may include coordination with team members, preparation and delivery of assets to partners or aiding in the development of project specific documents such as project schedules or budgets. Lead small projects through completion with the support of the manager of production.

Team Coordination: Assist Producers as directed by them. Tasks may include booking conference rooms, ordering food if the meeting is over lunch or dinner, preparing detailed tracking lists and preparing meeting notes.

Resource Planning: Maintain the weekly project resource sheet and make sure it is accurate and complete before the resource meetings. Make sure the sheet is available by computer or in print-outs for the weekly resource meetings.

Tools Administration: Aid in the upkeep of team tools including but not limited to: asset repository, resourcing tools, CTD updates

Project Status: Maintain Project Status document on Google Docs. Ensure that updates are being made on a weekly basis and support Producers, Program Managers and the Manager of Production for the proper use of the document.

Technical Support for Conference Rooms: Be the point of contact for any audio/visual/technical issues that might arise from the use of equipment in conference rooms in Glendale. Issues may include faulty VTC connections, inability to display documents or videos required for meetings, or problems with conference bridge. Production Coordinator should be available to troubleshoot issues at any time, and is expected to create lists of recurring issues and work with IT to mitigate them.

Training and Knowledge preferred:
Basic project management skills
Basic understanding of SDLC
Audio/Visual experience preferred
Good time management skills
Good communication skills
Good interpersonal skills
Basic project financial tasks understanding a plus
