Asset Coordinator, Creative Operations

The Asset Coordinator would develop systems for managing a high volume of assets that are frequently shared cross-functionally. This person would be dedicated to the servers both for our group and global counterparts to unify folder structures into one system so files are easy to find. This would make an impact on the amount of time designers spend searching for files and would improve design collaboration. The role would be part of Creative Operations but would support all design functions, including product development, style guides and publishing. They would also take on all shipping and distribution for our 45+ guides annually.

Additionally, the Asset Coordinator would support with uploading assets to the MCC (externally hosted digital asset management system), photographing and tagging our growing inventory of licensed products and organizing other digital/ physical assets (print library, collateral, creative review decks, etc.). The position requires strong administrative and communication skills. Someone with technical production and/or design experience would be an added bonus.

Maintain a central hub of assets to support a variety of design and cross-functional projects.
Collaborate with designers, vendors, producers and marketing partners on a daily basis.
Initiate gathering of assets from multiple sources upon job initiation prior to project kick off meeting.
Ensure completed jobs are systematically archived by obtaining all final materials (samples, printer files, jpg for PPT presentations, etc.) and any necessary working files. Collect properly in centralized files.
File check assets for final delivery.
Archive projects by year, job number and project category - requires manual naming of files and creation of folders, maintenance of file structure with files organized to be easily retrieved by new users.
Monitor server's digital file allocation by archiving and deleting old files - requires routine review of available space and initiating review with all users to determine which files can be deleted to free space in server, requests and justifies additional space from IT.
Create meta-data and batch upload assets to externally hosted asset management system. Troubleshoot upload issues with vendor.
Maintain product sample storage from global licensing partners. Photograph samples and tag with relevant licensee information, season/ year and category.
Scan, name and categorize print swatch files. Pair up physical print swatch with digital file. Prepare contact sheets for easy reference.
Handle all shipping and distribution of style guides, discs and product samples to global licensing teams.
Support with special projects and events.

Strong computer skills: MS Word, Excel, PPT. Familiarity with CS5, Illustrator, Photoshop, InDesign is preferred.

B.A./B.S./B.F.A Marketing, Business, Communications, Fine Arts and/or 4 years related work experience in the field.
