Our client is a Fortune-500 pharmaceuticals company with a global reach! They are seeking an organized, efficient and energetic Administrative Assistant to support their busy advertising studio and to provide executive support. Prior experience in a pharmaceutical company or support advertising/marketing services would be ideal, but solid AA's will be considered. Job Description:

Strong inter-personal skills. This position will be inter-facing with many people internally and externally and at various levels. Should be personable, pleasant, energetic and a good communicator.

-Strong typing skills, particularly Powerpoint, and Word

-Knowledge of the computer billing systems. Requires a high volume of work on SAP, SRM, Onyx, etc. May be asked to process invoices or check requests for advertising activity between BMS and our agencies. Should be comfortable working on these systems.

-Must work with a sense of urgency to meet the needs of managers and internal clients.

-Travel and Expense reports within Concur system as needed throughout the month

-Assist with travel arrangements for the group

-Strong organizational skills. Filing is critical for pricing, authorization documents between our company and advertising agencies
-Must also carefully file media planning documents for the department as revisions are made

-Keep calendars of managers (requires a lot of meeting set-up/coordination for the group) with numerous outside media vendors as well as internal clients. Requires patience and firmness in dealing with persistent sales people.

-Opens and distributes mail to manager

-Strong oral and written skills

-Can work independently without a lot of supervision

-Can Multi-task effectively (will work with teams from 2 busy departments)

-Must be flexible to accommodate changing work priorities

-Position may require work after hours on a very occasional basis. Should be able to do that with reasonable notice.

-A bachelors or associates degree preferred. Willingness to learn and be an active part of a dynamic team is essential.
