Administrative Assistant for Global Brand

We are currently looking for a top-tier Admin Assistant that will be responsible for supporting 2 VPs and their teams. This person will anticipate the needs of the VPs and other team members and help them stay focused on their projects by resolving operational and administrative issues before they arise. This person will also be responsible for office management and group administrative work.

Common Essential Duties & Responsibilities:
· Build efficiency and effective responsiveness into existing operations, and help define new operational strategies
· Coordinate, arrange, and run logistics for staff meetings and a variety of other meetings, including preparing meeting materials ahead of time
· Document meeting minutes as well as manage and track action items
· Establish direct internal and external relationships with key company influencers
· Maintain overall efficiency and accuracy of administrative processes and procedures
· Plan and coordinate employee/client events
· Perform an extensive range of administrative tasks such as calendar management, expenses, coordination of complex international and domestic travel itineraries, etc.
· Office management duties to include ordering office supplies, planning the weekly lunch, catering and planning for special events, etc.
· Provide full administrative duties as required including; TA (Travel Authorization) submission and settling expenses through GERP

· Demonstrated ability to gracefully handle time-sensitive duties
· Possess excellent organizational skills with attention to detail and follow through, comfortable making decisions, and comfortable working on initiatives that require confidentiality
· Direct experience dealing with sensitive and conflicting situations in a diplomatic manner; manage and de-escalate conflict appropriately, know when to delegate issues upward
· Possess strong business judgment and communication skills needed to interact with a wide variety of internal and external contacts at all levels
· Ability to work independently as a self-starter as well as with a team
· Proficient in Microsoft Office (Word, Excel, PowerPoint)
· Bilingual with Korean and English is a plus
