Administrative Assistant

We’re working with a client in the Education industry to find an Administrative Assistant to join their team! In this role, you’ll provide day-to-day support for the management team.

Start Date: As soon as the right candidate is found
Duration: 6 months with potential to extend
Location: Onsite at our client’s office in Boston
Hours: 35 per week
Rate: Up to $16 per hour DOE

Responsibilities:
• Manage the Vice President’s daily calendar, reviewing meetings, prioritizing requests for time and interacting with other company Executives and their Assistants to coordinate a variety of complex executive meetings.
• Work with department heads and Human Resources to assist with new employee on-boarding procedures.
• Arrange travel schedule and reservations for the Vice President and provide assistance as needed to members of the senior management team.
• Arrange logistics for on and off-site events, conferences, meetings, seminars and other functions.
• Manage monthly business tasks, such as expense reports, tracking project spending and related employee time sheets, processing invoices and departmental costs.
• Assist other team Executives with their calendars as needed.
• Act as a liaison between departments, prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
• Ensure that the Senior Vice President is kept up to date on current priorities and important details.

Requirements:
• Bachelor’s degree required.
• Excellent organizational and communication skills required.
• Experience and interest in working in a fast-paced work environment which requires problem solving and handling multiple priorities simultaneously required.
• Experience using Google tools such as email, calendar and docs preferred.
• Excellent calendar management skills, including the coordination of complex meetings for multiple high level individuals.
• Familiarity with travel coordination websites such as Concur or a similar system is a plus
• Ability to effectively attend to a diverse range of priorities working with people/teams throughout the organization on demand, and in high-pressure situations.
• Reliable attendance and punctuality is critical to successful performance in this role.
