Administrative Assistant

Position would entail general administrative duties and provide backup support to current administrative assistants when they are out of the office. In addition to routine administrative duties this person will be responsible for the processing of Travel authorizations (VTA's) and the coordination of travel accommodations

PRINCIPLE DUTIES & RESPONSIBILITIES:

-Oversee administrative functions of the office and ensure it runs efficiently and effectively.
- Answer phones
- Prepare correspondence
- Photo copying, faxing and filing for managers and staff
- Reconcile office budget accounts
- Receive, record, and distribute all incoming deliveries and mail
- Serve as the receptionist, welcoming and screening visitors
- Report facility problems to necessary internal or external vendor and ensure that problems and issues are resolved.
- Maintain contact with various vendors.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES:

- Embody the Alaska Spirit and conducts oneself with Integrity, Professionalism, Resourcefulness and Caring.
- High School diploma or equivalent
- Knowledge of MS Word and Excel
- Excellent verbal and written communication skills
- Demonstrated ability to prioritize and organize in a fast paced environment
- Demonstrated ability to handle multiple tasks and interact with large numbers of people
- Demonstrated ability to anticipate needs of the staff and maintain an upbeat, positive, can-do attitude.
- Minimum of three years of administrative experience preferred
- A college degree is a preferred
- Ability to multi-task with frequent interruptions
