Summary:

Our Fortune 500 Fashion client is seeking a seasoned Administrative Assistant to join their Marketing team and provide professional administrative and clerical support within a designated work group.  It is important that this person can manage diverse responsibilities and be held accountable for keeping up superior organization amidst the occasional and unpredictable chaos with aplomb and humor.  Ideally, the perfect fit for this role is a person who has enough experience as an Administrative Assistant that they dream of Outlook calendars and practice the most ergonomically sound short key functions during their daily commute.  If you are someone who is detail oriented and flexible enough to find joy in a fast paced corporate environment then this role should provide you with an excellent opportunity to showcase your previously acquired skills.

 

Responsibilities:

  • Support 3 Marketing VPs
  • Excellent management and time sensitive maintenance of multiple confidential calendars and schedules
  • Coordinate all travel and expense management
  • Schedule team meetings, including securing location, catering and meeting logistics
  • Onboarding all new employees with in supported department – including finding workstation, onboarding documentation, office equipment, network access, etc all set up prior to new employees start date
  • Handle information requests
  • Perform clerical functions such as preparing correspondence and arranging conference calls
  • Track and order office supplies
  • Expertly oversee OPEX budget planning and monthly tracking / reforecasting for team
  • Create and update business documents using various software applications – assemble and masterfully meet all deadlines
  • Thoroughly understand activities and objectives with in the departments
  • Without a second through independently make sound decisions and judgment calls on behalf of supported VPs

 

Requirements:

  • Bachelor’s degree preferred
  • Minimum 3 years of experience as the most efficient administrative assistant in the office
  • Dynamic analytical, problem solving and project management abilities with proven systems knowledge and expertise – must be able to navigate our often challenging systems and processes
  • Flexibility with regards to job responsibilities
  • Expert knowledge and proficiency with MS Office applications including Word, Excel and Outlook – PowerPoint is a must
  • Experience in Workday a major plus
  • Extremely strong customer service orientation and the ability to multi-task; with the desire to work in a very fast paced environment without becoming frustrated with last minute changes
  • Effective interpersonal and organizational skills; especially when it comes to working directly with senior leaders
  • Impeccable communication skills across all channels with an ability to get the message across over IM, email, phone, text
  • Excellent discretion, judgment, tact and diplomacy
  • Demonstrated ability to learn new computer programs quickly
  • Must demonstrate an energetic, positive, helpful demeanor and a passion
