Our client's Creative Sports Design team is looking for excellent Production Assistants to join them on a freelance basis.

Reports to: Head of Operations

Client:
The team is our client's (a broadcasting/entertainment giant) very own in-built advertising agency, responsible for the design, development and delivery of marketing and sponsorship campaigns. The department’s focus is the continued goal of delivering high quality Creative and to take on more work in-house from Marketing.

Job purpose:
- You will work closely with Business Support to provide support to the department and it is the goal of the team to put processes, solutions and efficiencies in place - not only for the smooth day-to-day running of the department but to ensure all users have the tools to do their job and to also increase capacity to take on more work.
- As the key point of contact for operational and technical support in Creative there will be a requirement to establish clear lines of communication with stakeholders and users.
- Capture the technical requirements of the Creative users to ensure they have the best tools for their jobs.
- You will continually challenge processes and practices with the focus of making things simpler, better, more efficient and cost effective.
- You will be assisting the Head of Operations with infrastructure improvements, and operational tasks.
- Monitor and evaluate hardware and software costs, evaluate and audit the Creative estate.
- Working with finance and procurement teams to track spend, challenge procurement process to ensure that the Creative team receive value and are efficient.

Key responsibilities:
• Identify the technology requirements of each team within Creative providing prompt technical assistance when required and provide strategic information to the Senior Manager of Technology.
• Provide technical assistance for changes and incidents, assigning and communicating the correct level of priority to support teams. Take ownership of a technology problem through to resolution.
• Manage the loan equipment for Creative, maintenance maintaining laptops, cameras, monitors, speakers and other peripheral devices.

Project Responsibilities:
• Manage the deployment of software to the MAC estate working with support to capture user requirements, communicating with stakeholders to ensure Creative have the best tools for their jobs
• Create a scope for the upgrade, schedule user testing, and roll out software with minimal disruption to the business.
• Continually evaluate the desktop hardware in Creative, identifying machines beyond the three-year life cycle and plan for their replacement. Working with the Manager of Technology and Operations and stakeholders to plan a project scope for the refresh of equipment and assist in the procurement, testing and roll-out phases of the project.

Team Coordinator:
• Document team processes, evaluate to find efficiencies and ensure the Operations team are providing a valuable service to teams in Creative.
• Communicate operational notices to Creative, providing an communication point between the users in Creative and external services (support, building maintenance, procurement).
• Attend meetings with service providers to Creative, communicating user feedback, current issues and changes to external departments.

Procurement:
• Audit software licenses and maintenance agreements to ensure Creative are receiving value. Working with stakeholders, users and external vendors to evaluate pricing, making efficiencies where possible whilst continually improving the tools available to users.
• Raise orders for software and hardware, working with IT Provisioning, Creative Business Admin to revise and improve procurement process.

Key requirements:
- Meticulous, organized and proactive, excellent communication and liaison skills, good knowledge of post-production workflow and broadcast production process and a talent for multitasking
- Excellent knowledge of non-linear editing software, IPP workflow to Clarity and editing skills
- Working knowledge of at least most of following software packages: Premier Pro, After Effects, C4D, Photoshop and Illustrator
- Knowledge of Microsoft Office packages is essential. Keynote is a plus.
- Good understanding of data management and archiving (File formats & Naming conventions).
