***Our client in the energy industry is looking for a Project Manager to oversee the budgeting strategy of the advertising team. This position is HYBRID and would require the individual to travel to Union Square 2 times a week.***


Con Edison is seeking a Marketing Project Specialist. This role will work closely with our Advertising

Team. Currently our Advertising Team is made up of an Advertising Manager, a Digital Media Manager

and two Senior Marketing Specialists. The team is responsible for advising on, and overseeing the

execution of all advertising programs, for Con Edison and Orange & Rockland.


This newly created role would work across the Advertising team and the entire Marketing Department

to manage Account Payable processes, expense approvals (via production estimates and media

authorizations), the issuing of purchase orders, the inflow of invoices from our advertising and media

agencies, the invoice approval process, and all other budget related management and reporting.

Also essential to this role would be working with Corporate Financial Operations to manage total

budgets and spend.



  • Develop and implement best practices around how we track budgets, manage our finances, and pay our bills
  • Ensure we maintain a consistent and high-quality audit trail for all of our financial dealings
  • Track annual budgets for all programs In conjunction with the agencies develop monthly budget summary that provides on-going insight into total budgets, what has been authorized to be spent, what has been invoiced, and what is planned for future months
  • Report monthly on Corporate actuals
  • Identify all expected monthly “receipts” and report them to Financial Operations at the end of each month
  • Manage production estimate process—from issuance to approval to issuing of purchase orders (POs)
  • Manage Media Approval process—from issuance of media authorizations to approval to issuing of POs
  • Review and approve all media pre-billing, in consultation with Digital Media Manager
  • Review all invoicing before forwarding to marketing team members for final approval
  • Track invoice approvals
  • Approve all Corporate production invoicing for payment after consultation with Advertising Manager
  • Approve all Corporate media and retainer fees invoicing for payment after consultation with Digital Media Manager
  • Serve as liaison with ad agency and media agency billing teams, including troubleshooting issues which might include when payment might be expected, late approvals, Oracle issues
  • Serve as liaison with Integrated Marketing team to answer questions around budgets and invoices
  • Push agency to reconcile all accounts in a timely manner and issue needed debits/credits
  • Maintain all relevant files on Microsoft Teams for easy access by team members
  • Develop custom reports as needed to take full advantage of Oracle reporting capabilities


  • General knowledge of how production and paid media works
  • Understanding of general budgeting, invoicing, and tracking processes
  • Knowledge of Oracle a plus
  • Must know Excel, and be familiar with advanced features such as pivot tables
  • Familiarity with other tools such as SmartSheets welcome
  • Strong analytical and data calculation skills
  • Strong attention to detail, critical thinker
  • Able to multi-task, self-prioritize and operate with minimal supervision


  • Minimum three-years experience in a similar role
  • Advertising agency experience preferred
