Job Title: Operations Compliance Manager

Scope of Work: Role established to support standing-up and governing marketing vendor contract & budget compliance processes across the marketing operations department.

Estimated Start Date: ASAP

Location: Remote (PST hours)

Duration: 1 year (may extend/convert)

The Operations Program Manager, Compliance will create a vendor contract management process for our large, multi-functional Marketing organization.

 

This newly created position is responsible for defining, creating, and implementing a process to track vendor contracts and agreements for our 400-person Marketing organization. The ideal candidate has extensive experience defining new processes and creating detailed project plans for multi-functional, large teams, and is enthusiastic about the opportunity to define a new workstream. We’re looking for a fast learner that thrives in ambiguity and can help create structure where none currently exists. This role reports into the Associate Director, Marketing Operations.   

 

Key Responsibilities

 

  • You are responsible for creating processes across Marketing to track vendor agreements and contracts for a 400-person Marketing organization
  • You are responsible for facilitating the smooth running of Marketing Compliance processes, from the strategic planning through operational execution and optimization
  • You will establish project milestones, identifying key cross-functional partners, their deliverables, and the requirements for establishing new processes for Marketing
  • You will contribute to the creation of tools and technology that enable delivery of Marketing Compliance
  • You will document compliance best practices for Marketing and audit contract submissions monthly in partnership with Finance and Accounting
  • You will champion and lead change management for Marketing by reviewing progress and optimizing where needed
  • Foster partnerships with Finance, Accounting, Vendor Payment Tools team, Internal Controls, Sourcing, and business leads
  • Facilitates trainings for Marketing to improve overall compliance and vendor management literacy
  • Responsible for overseeing consultant that will design training documents (including how-to’s and manuals) for Marketing
  • Lead technical support to build an organized tracking system to house all contracts for Marketing
  • Operate successfully with a high degree of autonomy

 

Key Competencies/Experience

 

  • 5+ years’ experience in process design, project management, and leading projects and teams at large, multi-functional organizations
  • Effective relationship-building skills; ability to cultivate strong partnerships across functions to bring people together toward common goals and consensus
  • Systems-mindset with ability to anticipate multiple outcomes and plan accordingly
  • Exceptional organizational skills and detail-oriented
  • Familiarity working with vendors, Accounting/Finance, technical teams, or budget frameworks
  • Comfort working in Excel and pulling and reconciling reports
  • Self-starter with an entrepreneurial mindset
  • Develop a deep understanding of Marketing compliance
