Job Description:

Our client is looking for multiple Account Coordinators/Produers to join their team, on-site 40 hours/week in Bentonville, AR.

This role will coordinate with merchants, studios, marketing, and many other partners to ensure samples are available for photography, video, and other projects. This will include tracking, following up, and communicating around what samples are need, where they are needed, and when.

  • Manage the flow of merchandise and movement of samples going to the studio and projects.
  • Prioritize samples, asks, supports needs, emails, and meetings effectively
  • Responsible for ensuring all samples are accounted for
  • Communicates to photo producers, photo account managers, and leadership around damaged samples, missing samples, and weekly current statuses/large projects
  • Follow up with missing samples
  • Pack samples for shipment (if needed) and provide packing slips that list all contents and organize in centralized place for easy access/reference
  • Attend weekly tb’s for incoming information, and sample walk throughs
  • Coordinate inventory pulls with the account manager to ensure products arrive in-studio prior to shoots
  • Track timelines of studio samples and coordinate with the account manager and merch coordinator teams to make sure samples are returned by date needed
  • Coordinate with business team members to build relationships and ensure samples are ordered, and appropriate information is entered into the systems
  • Ensure that all samples are photo ready and accurately labeled
  • Manage product flow through cross-functional partnerships in order to identify missing samples, prioritize samples for photography, duplicate requests, and expedite priority sample photography to meet launch deadlines
  • Help manage samples movement for any shoots, affiliate day, PR needs, and sample related projects
  • Be proactive in reaching out to ensure clarity and understanding of current statuses and needs
  • Follow up with all updates, concerns, solves, and blockers
  • Provide metrics/inputs for leadership reporting
  • Display consistent professional demeanor, tone, and good judgement
  • Builds positive relationships and interactions with active partners
  • Continuously update a missing sample tracker
  • Communicate with other merchandise coordinators and studio partners to ensure unidentified samples are called out
  • Create and update file naming conventions, CAD decks, and documentation that all teams can utilize
  • Attend regular photo and business meetings and touch bases
  • Ensure clean data in current systems to provide clear information
  • Follow up with all active team members, and business partners
  • Effectively manages and bring larger concerns to management
  • Problem solves shipping and receiving concerns
  • Ensure proper communications around sample due date (would like to consolidate as much as possible)


  • Must be detail oriented
  • 2-3yrs in corporate environment
