Job Description:

Seeking a Resource Management Coordinator (Video) for the following duties:

New Hire Onboarding /Off-boarding 
- Arrivals: Setup new hires in company directory and HR tool; coordinate seating with Facilities/IT, enter in to arrivals calendar, arrange for IT equipment 
- Departures: Coordinate with Facilities/IT, Note on arrivals calendar 
- Seating: Act as central point to assist in tracking move requests 
- Building Access: Working with Reception to maintain / reconcile guest lists/badge access lists, manage 
requests/submission, work with RMs for building approvals 

Contractor Tracking 
- Contractor / Vendor Tracking: Maintain the vendor checklist, master interactive list, start/end dates of 
contractors/vendors, rates, actuals, hours, etc.
- Reporting support to Resource Managers: HR tool data manipulation, Daily Producer/Functional Lead Report, 
Availability/Over-Allocated Report, Missing Allocations Report; ad hoc reporting that comes up 

Department Administration 
- Weekly RM meetings; Take notes – distribute after meeting with action items, review action items at next meeting 
- Collaborate with team to develop / distribute monthly RM newsletter sent out to marketing department stakeholders 
- Conduct security briefings 
- Scheduling – process mapping workshops, HR tool trainings, team meetings / events, security 
briefing calendar, vendor reviews, quarterly team-building / celebrations 

Qualifications:
Strong HR/recruiting support experience, ideally in an agency setting or for a marketing organization

Strong Mac skills, iWork Suite skills

Exceptional attention to detail

Superb interpersonal skills, particularly with all levels of staff

Ability to work well in a dynamic environment
