Job Description:

Aquent Studios is looking for a creative services traffic coordinator/project coordinator for our Boise Studio to help manage the workflow of a Fortune 50 client account!   We are looking for candidates who are extremely organized, methodical and detail-oriented. Candidates must prove they are an excellent and concise communicator that can thrive in deadline-driven and creative project environment. This person must rank high in interpersonal and communication skills as this is a fast-paced agency environment. The right person needs to be patient and excellent at managing client and internal priorities. The traffic coordinator/project coordinator must have good planning skills and the ability to anticipate problems and develop a plan of action to prevent delays in the client's workflow. This person will be required to communicate with individuals at different levels in the organization (both internal and client facing) and may need to prepare budget, timelines and progress reports for upper management.

 

Traffic Coordinator Duties 35%

  • Assign and coordinate all incoming projects in our client’s project management tool

  • Ensure projects are assigned to the right Aquent project manager by sorting through details (due date, client info, task details, any other pertinent information)

  • Ensure all jobs are assigned, kicked off and tracked according to deadlines

  • Ensure we are meeting client deadlines 

  • Manage a good cadence in response time with the client 

  • Open jobs in the client’s project management tool for those on the team without planner licenses

  • Attend daily traffic meetings with the client and ensure any Aquent questions are answered by the client

  • Run internal daily traffic meetings to review the project managers’ bandwidth 

  • Hold as needed tag ups with individuals on the Aquent project management team to ensure their project status updates are logged in our internal tracker 

  • Act as a support to our lead designer and lead project manager in coordinating agenda items for weekly meetings

  • Manage the team’s OOO schedule on the team calendar

 

Project Coordinator Duties 65%

  • Manage creative production projects from kick-off with the client to delivery

  • Project types are very production oriented and may include rush assignments

  • Work streams assigned to the project coordinator will be those that are more established and streamlined in current process workflows

  • Work with designers to ensure work is on track

  • Ensuring all deadlines are met every day

  • Ensuring all estimates (when applicable) go out within 24 hours after direction solidified

  • Ensure all clients get a response back on first reach outs within 2 business hours of you being assigned the project

  • Have the team status tracker updated before you leave everyday

  • Ensure all recaps to ANY client facing meeting goes out within 24 hours of that meeting

  • Be able to track and manage billable and non-billable time

  • Participate in team tag ups
