Job Description:

Our client is seeking an Events Specialist Consultant to focus on planning and executing community events, sponsorships and conferences. This individual will be responsible for the planning, project management support, updating project plans and tracking deliverables. This role will also provide administrative support to the Events Marketing team by managing invoices, meeting coordination, sourcing etc.

Primary Responsibilities:

  • Community Engagement - work with local markets across the US to identify business needs and provide recommendations on how to maximize objectives of sponsorship
  • Partner with Field Marketing teams to provide recommendations, budgets, event briefs and project plans and responds to requests promptly.
  • Communication - Listen to their clients' needs and present ideas and solutions to their requirements.
  • Manage project plans, following up on details and holding stakeholders responsible to successfully coordinate and execute events within given timelines
  •  Assist with managing on-site support and reports on metrics and outcomes
  •  Collaborate on the creation and production of onsite event materials (printing, giveaway items, display/booth items, and activities and management of shipping arrangements
  • Deliver on administration activities for existing and new clients/projects, including creation and tracking of budgets and schedules. Adhere to company guidelines for documentation and proprietary information.
  • Foster strong working relationships with Event Marketing team, Regional Marketing Directors, Brokers/Producers, Creative Services, Procurement and other stakeholders to support a best in class live events schedule
  • Travel to events for onsite coordination, up to 25%

Requirements:

Successful Candidate Qualities:

  •  3+ years experience in Corporate Event Coordinating/Planning, Event Marketing, and Sponsorship
  • Healthcare or Health Insurance Industry experience preferred
  •  Experience planning and coordinating events on a national basis
  •  Able to communicate both verbally and in written format with suppliers, contractors, employees
  •  Project Management and Organization skills are a must. Many things happen all at once.
  •  Experience working with systems to submit and process invoices and contracts
  •  Has a great sense of humor, low ego and high confidence
  •  Is a self-starter who embraces challenges, learns quickly and is flexible and able to change course mid-stream with a high level of professionalism
  •  Proactive approach and optimistic perspective, ensuring that value is provided
  • Has strong negotiation, interpersonal and communication skills
  •  Has experience working cross-functionally across multiple organizations, with the ability to build strong relationships quickly
  •  Has the ability to remain calm and composed under pressure, with the ability to diffuse tense situations
  •  Displays ownership in finding new and better ways to do things and improve existing processes, increasing efficiency where possible working independently with limited direction/guidance
  •  Has a positive, friendly and helpful approach to work

  •  Has proven competency with Microsoft Office Suite including PowerPoint, Access, Word, and Excel; experience with internal payment systems and websites is an asset
