Job Description:


The Traffic Coordinator is a critical position, the point person for making sure the work of the high-volume, quick-turnaround creative design team is organized and kept on track. 
The Traffic Coordinator manages creative requests from cross functional teams, communicates project requirements to the internal creative team and if needed, may procure supporting data to ensure that projects move through the department in a timely manner. The Traffic Coordinator communicates scheduled deadlines, runs weekly review meetings and provides warnings and solutions when delivery dates may be in jeopardy, and works with external vendors to ensure the delivery and production of creative assets. 
Prior traffic management experience in a fast-paced environment is essential. The candidate must be detail oriented, resourceful, capable of managing tough deadlines, and have the ability to multitask and prioritize. Must have excellent organizational, written and oral communication skills and be proficient with corporate PC applications and workflow management software. An interest in communication design and familiarity with Adobe Creative Suite is a plus. 
The traffic coordinator reports to the creative director who has oversight responsibility for the design and production of a wide range of materials. 

ESSENTIAL FUNCTIONS: 
 Manage and track the copywriting, design, proofreading, approval timelines and production processes of promotional materials in a fast-paced, deadline-driven atmosphere 
 Create and maintain (keep current) the creative and production department calendar and schedules. Use 
internal workflow systems to communicate and coordinate between design, copywriting, marketing 
managers, practice group support, and any and all relevant internal partners and clients 
 Interact with internal partners and clients, keeping them informed of status, budget, reviews, approval 
process, etc. Gather client input, compile and communicate to appropriate team members 
 Work with printers and other outside vendors, to produce firm materials by providing job specifications to obtain estimates, managing job progress from final design through proofing to on-time delivery of finished 
product and invoicing 
 Maintain/update various firm-wide resources such as the Marketing Materials site, and the Quick Contacts quarterly report. Track and manage firm-wide materials such as practice brochures and folder inventory 
 Generate monthly reports that track the number of creative team projects completed 
 Performs additional duties and assists on projects as assigned 

EDUCATION, EXPERIENCE AND SKILLS REQUIRED 
 Bachelor’s degree with 4+ years of traffic management 
 Experience managing outside vendors 
 Proven project management skills 
 Exceptional organizational skills and ability to attend to detail 
CAPABILITIES: 
 Ability to multitask, set priorities and meet multiple deadlines in a fast-paced environment; the ability to 
follow-up and follow through 
 Ability to work effectively, efficiently and collaboratively as part of a dispersed team, as well as 
independently on many projects simultaneously 
 Demonstrated ability to communicate and interact effectively both orally and in writing with all levels of 
internal (management and support staff) and external clients 
 Ability to be a proactive self-starter with a strong work ethic, who understands the details within a larger 
context and demonstrates good judgment 
 Experience with the Microsoft Office Suite (required), and experience using Sharepoint (preferred). Familiarity with Adobe Creative Suite and an interest in communication design is helpful 
 Must be flexible in order to respond quickly and positively to shifting demands and opportunities; ability to work under tight deadlines and handle multiple, detailed tasks
