Job Description:

Our Fortune 100 Financial Services client is looking to hire an Event Project Manager with 4+ years of experience.

We are looking for a Event Project Manager who has meeting operations and/or hotel industry experience.  

This is temporary assignment that is scheduled for 15-20 weeks with possible extension.

Hourly Rate $25-$27 DOE

Responsibilities include:
We're looking for someone with meeting and event industry experience to work in conjunction with our in-house meeting planner in the preparation and execution of internal and client facing events. 

The ideal candidate will have previous experience in the hotel industry, meeting planning and/or meeting operations. 

This person will play an integral role in researching, coordinating and planning of the overall events.

• Search and document vendors for meeting space, transportation, off-site evening events, sleeping rooms and all other needs in conjunction with events
• Manage documentation to provide to off-site vendors of room set-up, food and beverage, audio-visual, rooming list and other hotel arrangements
• Coordinate the content process with product management and marketing communications teams to keep track of the meeting content pieces (title, meeting descriptions, speakers, bios, av needs, handouts, etc.)
• Develop conference websites promoting logistical information and/or online registration via Cvent
• Coordinate the details of the marketing efforts for each event, emails, ads, invitations, etc. including working with the Creative Services team to develop themes and graphics
• Distribute communications to attendees pre and post meeting
• Create, duplicate, and assemble conference/review materials, including name badges, tent cards, signs, packets, and other materials
• On-site management during the operation of the meeting
• Track actual spend for meetings and events vs. budget
• Process and document vendor payments via the procurement system
• Order and keep inventory of event collateral

Hourly Rate $25-$27 DOE

Client Description:

• Bachelors degree preferred
• 4+ years in meeting planning, meeting operations and/or hotel industry
• Must be detail-oriented
• Cvent experience required (meeting management software program)
• Ability to work with vendors and clearly explain our needs and expectations
• Ability to manage multiple fast moving projects at the same time
• Works independently, but understands they are part of a team
