Start Date:  10/16/17

Contract Length:  1 Year || (3 days per week / 20 Hours per week)

Location:  San Francisco, CA

Pay Rate:  $21.50/hour

 

 

Summary:

Looking for a vibrant and attentive individual to fill the part-time contract role of Sample Coordinator in our Global Marketing Operations team, under the guidance and direction or our sample management group.  The Sample Coordinator supports a variety of cross-functional partners to deliver excellent customer service by way of sourcing, organizing and managing the procurement of valuable product samples within the organization.  They will maintain relationships with key partners in all category and channel Merchant teams, Creative leads, Marketers and E-com Managers.  The Sample Coordinator will work to balance sample availability against orders / shotlists and be able to work collaboratively across functions to deliver on needs communicated.

 

Responsibilities:

  • Reporting in to the Operations Coordinator this role will need to partner closely with the Ops Coordinator and the Sample Librarian to execute incoming orders and requirements
  • Responsible for processing, organizing and tracking samples for photographic shoots, marketing and merchandising events and internal product reviews
  • Conduct Quality Assurance of all incoming samples with product data against merchandise
  • Partner with merchandising team to obtain ETA’s and report data to requesting teams
  • Manage sample logistics and work with partners to effectively communicate product prioritization
  • Route and track samples according to order requirements and desired destinations
  • Builds and maintains vendor relationships to borrow samples as needed and deliver on promises made
  • Collaborates and works diligently to find solutions to sample challenges
  • Adheres to schedule requirements and reports issues as needed to manage partner expectations
  • Takes a keen approach to learning and researching product in order to enhance their ability to identify issues and inconsistencies in the merchandise
  • Always mindful of the sample process and adds value by continuing to improve efficiency, streamlined procedures and proactive communication

 

Requirements:

  • High school diploma
  • Proficient working knowledge of Mac and PC with excellent skills in Microsoft Excel (Pivot Tables and V Look ups)
  • Experience with database management tools
  • Motivation to learn, grow, highly detail oriented and a problem solver
  • Prior experience in retail, sample coordination or managing stock inventory
  • Has an acute sense of urgency, understands how to prioritize tasks according to critical needs and is extremely organized
  • Ability to think and react in a high energy, fast paced environment
  • Proven ability to meet stringent deadlines
  • Is a whiz with spreadsheets, lives in numbers and does not tire of repetitive tasks
