Job Description:

Responsible for supporting the program management team in the day-to-day tasks of program execution, with a focus on routing/trafficking the creative deliverables across the organization to ensure on-time delivery. 

• Opens jobs and builds job folders on server w/ all project info; updates as jobs evolve and maintains final product archive of job info 
• Prepares initial schedules in Smartsheets and sets due dates; consults with program management, creative and production to finalize timeline before publishing. Actively monitors schedule and follows-up on due dates to ensure teams meet deadlines 
• Updates key milestone calendar to keep teams informed on project start dates/kick-offs 
• Updates status reports for weekly status meetings to keep teams informed on progress 
• Partners with program management and translator to secure translations for CDA French versions 
• Routes mechanical files in ProofHQ prior to release for stakeholder review; ensures feedback is clear/actionable prior to disseminating to creative teams 
• Receives comps from Marketing; facilitates hand-off to Content Production team 
• Expedites “rush” jobs so that the process does not obstruct the orderly flow of every day work 
• Ensures adherence to process; identifies process gaps to improve efficiency 

• 1-3 years experience in program/account/marketing management 
• College degree or equivalent experience 
• Excellent technical skills – MS Office (specifically Excel, Word, PowerPoint) 
• Agency or retail experience preferred 
• Effective communication skills, both written and verbal 
• Exceptional organizational skills; detail-oriented 
• Strong time management skills; ability to juggle priorities 
• Can-do positive attitude and a roll-up-your-sleeves approach 
• Personable and flexible with demands and changes in business
