Job Description:

The Project Specialist manages the day-to-day project workflow, organization, prioritization and execution of multiple projects across a specified client portfolio. The Project Specialist owns the project plan and schedule and is accountable for ensuring deadlines are met in regards to the delivery of campaigns and tactics. The Project Specialist facilitates seamless execution of project work and proactively mitigates project risk through effective collaboration, problem solving and decision making. The Project Specialist produces reports and monitors data in order to provide alternatives in negotiations regarding scope and timeline, communicate status and realize efficiency. Responsibilities include but are not limited to estimate building, schedule creation, project management, budget management, process improvement and project management. 

Key Responsibilities: 

• Responsible for executing daily operations working with creative teams to ensure effective collaboration and on-time, error-free delivery of projects. 
• Creates campaign timelines and schedules that allow as much creative to be reviewed at one time as possible 
• Coordinates with team members to ensure schedules are complete, accurate and current throughout the life of the project 
• Works closely with Marketing Specialists to ensure the creative teams’ output and timing align with client expectations and that questions are addressed in a timely manner 
• Maintains detailed written status reports to ensure efficient workflow and adherence to deadlines and deliverables 
• Prepares weekly reports at the campaign and project levels regarding estimates vs. actuals 
• Contributes to post mortems by providing data generated from the project management software, identifying lessons learned and implementing positive change 
• Identifies dependencies, mitigates risk, and removes barriers for internal team members 
• Prepares proposals regarding scope and timelines and informs internal and client partners what is feasible when negotiating deadlines and deliverables with clients 
• Responsible for budgetary elements including producing estimates and maintaining transparency with the Marketing Specialist and client regarding financial status of the project 
• Works closely with the creative, content, and digital marketing teams to ensure all process steps are followed 
• Facilitates internal reviews and sets up approval workflows 
• Works with external agencies, printers, etc. to deliver projects 
• Drives team efficiency through project management and time tracking software 
• Contributes to process improvement by indentifying gaps or inefficiencies and proposing solutions. 

Minimum Requirements/Qualifications: 
• Bachelor’s degree in Business, Marketing, Communications, Advertising, or related field 
• 3+ years experience in marketing / project management / related field 
• Experience in leading project teams 
• Experience in building schedules and project plans 
• Ability to successfully manage multiple tasks with time sensitive deadlines and act with a sense of urgency 
• Effective prioritization skills 
• Process and detail orientation 
• Experience using project and/or campaign management software such as Workamajig, Workfront, Basecamp or similar 
• Demonstrated ability to communicate effectively verbally and in writing, including presentation skills 
• Proven ability to gain consensus, influence organizational behavior and lead decision making processes 
• Excellent interpersonal and conflict resolution skills to effectively and assertively navigate various personalities 
• Ability to maintain composure and perform under pressure, amid shifting priorities and when deadlines or scope are at risk 
• Experience in a heavily matrixed organization working cross-functionally across multiple approval levels would benefit this role 
Non-Negotiable Hiring Criteria:
